The Vertex Portal is a secure web app that connects everyone involved in a survey job: installers who book surveys, Vertex staff who schedule and quality-check them, and the design team who deliver the final pack. It’s one place to book jobs, see where each job is in the pipeline, and get your PDF and photos when they’re ready.
In short: installers submit jobs here; Vertex staff link surveys, generate PDFs, and publish packs; installers (and customers) get deliverables through the portal.
Every booking moves through the same pipeline. You’ll see these stages on each job:
Bookings — List and detail of every job; link survey record, generate PDF, publish to installer, send emails.
Dashboard — Overview of bookings and “Emails ready to send”.
Link survey — Connects the survey record to the portal booking so the PDF can be generated. Use “Find survey” or paste the record ID.
Generate PDF — Turns linked survey data into the branded installer pack. Run after linking.
Publish to installer — Makes the PDF and photos visible and downloadable to the installer. Until you publish, the deliverable is internal only.
Emails — Customer-facing emails (e.g. installer-paid confirmation). Admin → Emails or “Emails ready to send”.
QC — Optional quality-check workflow: score and approve bookings before they move to design.
Datasheets — Upload, review, publish or reject product datasheet PDFs. Installers can view published ones and use Pack Navigator.
Pack Navigator — Ask questions in natural language and get answers from published datasheets.
Calendar — View and manage survey slots and assignments.
Invoices — Weekly invoices for installer orgs; send and reconcile.
Installers — List orgs, add/remove users, set roles (installer_rep, installer_design, installer_master).
Surveyors — List surveyors, assign to jobs.
Admin — Feature flags, system status, survey sync checks, webhooks, reconciliation.
Your role: Full access. You can do everything in the portal: manage bookings, link surveys, generate PDFs, publish to installer, send emails, manage installers and surveyors, run QC, handle datasheets, invoices, and admin tools.
What you’ll use most:
Typical flow: Link survey → Generate PDF → Publish to installer → (optional) send customer email from Emails. If something didn’t link automatically, use “Find survey” or paste the survey record ID. If an installer can’t download, check INSTALLER_DOWNLOAD_FLOW—usually the pack isn’t published yet, or the user is installer_rep (no download), or wrong org.
