What we collect
- Enquiry details: name/company, phone, email, and your message (including selected service).
- Technical survey data (for commissioned work): measurements, photos, notes and project data required to produce your survey report.
How we use it
- To respond to enquiries and provide quotes.
- To deliver survey and design documentation.
- To improve our processes and templates (internally).
Sharing and processors
We do not sell personal data. We may use service providers to operate the website and communications. Where we do, they may process data on our behalf to deliver the service.
AI-assisted features and quality checks
AI supports parts of the Vertex service, including consistent notes, booking assistance, evidence-gap checks and completion quality control. It does not approve a system design, certify compliance or replace the people responsible for reviewing survey evidence and issuing reports.
Depending on the feature and current configuration, selected prompts and job information may be processed through specialist AI API providers, currently Anthropic and OpenAI. Email addresses and phone numbers are redacted before AI processing where the task does not need them. Booking and intake features may use contact details entered by the user where those details are required to complete the requested task.
AI activity is logged for service review. The log includes the feature used, provider, model, timing, redaction summary and a controlled record of the request and response. Access is restricted to authorised Vertex users.
Client imagery and marketing
Client-identifiable reports and photos are not published without consent. Any marketing imagery is only used with explicit consent and with identifying details removed.
Data retention
We retain data only as long as necessary for delivering services and operating the business. You can request deletion where applicable.
Vertex Portal apps
The Vertex Portal is available through the web and supported Apple, Android, and Windows apps. The same account and service principles apply across those platforms. Below is what we collect through the apps and how we use it.
App data collection
- Account info: email and name for login.
- Device identifiers: push notification token for booking reminders.
- Location: approximate location when you permit it, for survey and booking accuracy.
- Photos/camera: when you add images to surveys or bookings.
- Microphone/speech: when you use the voice booking assistant.
App purposes
- To deliver the Vertex Portal service (bookings, surveys, quality checks, calendar).
- To send push notifications (booking reminders, updates).
- To provide voice interaction with the booking assistant.
Sharing
Same principles as the website: we do not sell your data. We use processors only to run the service.
